Position: Timekeeper
Location: Seattle, WA
Hourly Wage: $28.00 - $30.00 per hour
Work Hours: Monday through Friday, 9:00 AM to 5:00 PM

Position Overview

The Timekeeper is responsible for maintaining, updating, verifying, and monitoring employee hours across the company's timekeeping systems. This position delivers essential day-to-day administrative support to the Operations Manager and the Corporate Accounting team, ensuring scheduled shifts align with timesheets and that payroll data remains accurate. The Timekeeper serves as the go-to resource for employees with questions about time-entry corrections, PTO requests, and attendance tracking.

Primary Responsibilities

Timekeeping & Attendance:

  • Administer, verify, and monitor employee hours recorded in the company's timekeeping systems.
  • Cross-reference employee schedules against timesheets to catch and resolve discrepancies.
  • Conduct daily timesheet reviews to detect missing clock-ins/outs and incorrect entries.
  • Process approved timesheets, generate time reports, and submit time adjustments as needed.
  • Manage employee PTO and vacation requests, confirming all are accurately coded.
  • Watch for overtime and irregular time-charging activity, flagging issues to the appropriate supervisors.
  • Confirm timesheets are reviewed each day and forwarded to the corporate office.

Administrative & Operational Duties:

  • Build and maintain accurate employee work schedules in partnership with the Operations Manager.
  • Work directly with on-site employees to answer questions and provide guidance on timekeeping policies.
  • Log, document, and escalate employee inquiries related to payroll hours.
  • Keep database records and physical files organized and up to date as directed.
  • Offer ongoing administrative support to the Operations Manager and Accounting Departments.
  • Follow all payroll and timekeeping concerns through to full resolution.

Education & Experience

  • High School Diploma required.
  • Bachelor Degree in Business Administration, Accounting, or a relevant field is preferred.
  • 2+ years of experience in Timekeeping, Payroll Support, or Administrative support is required.
  • Proficient in computer software applications including Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Proficiency in Apple applications (iOS, Numbers, Pages, Keynote) is a plus.
  • Prior experience with timekeeping software (e.g., ADP, Paylocity, or similar) is highly preferred.

Physical & Work Environment

  • Requires extended time working on a computer or laptop with keyboard use.
  • Position involves regular sitting, standing, walking, and verbal communication.
  • Must be able to stoop, kneel, bend, crouch, and lift up to 25 pounds.

  • Must be available to work nights, weekends, holidays, and overtime as required to meet payroll deadlines.
