Job Summary:

The Executive Assistant to the CEO provides high-level administrative and strategic support to the Chief Executive Officer by managing complex calendars, coordinating meetings and travel, and serving as a key liaison between the CEO and internal and external stakeholders. This role is responsible for preparing reports, presentations, and communications, handling confidential information with discretion, and ensuring the CEO’s daily operations run efficiently. The Executive Assistant also supports special projects, tracks priorities and deadlines, and helps drive execution of key initiatives in a fast-paced environment.

Essential Duties/Tasks:

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel
  • Prepare agendas, reports, presentations, and briefing materials
  • Screen calls, emails, and correspondence; respond or redirect as needed
  • Anticipate the CEO’s needs and proactively address them
  • Serve as a primary point of contact between the CEO and internal/external stakeholders
  • Coordinate meetings with senior leadership, board members, and clients
  • Draft and edit emails, memos, and other communications on behalf of the CEO
  • Assist with special projects, research, and strategic initiatives
  • Track deadlines, follow up on action items, and ensure completion
  • Support execution of company priorities and leadership initiatives
  • Handle sensitive information with a high level of confidentiality
  • Maintain professionalism and integrity in all interactions
  • Organize meetings, events, and executive offsites
  • Maintain records, files, and documentation systems
  • Manage expense reports and basic budgeting tasks
  • Liaison with internal staff at all levels and across all sites.
  • Interact with external clients as needed across the enterprise.

Required Education and Experience:

  • Bachelor’s degree required, Masters degree preferred.
  • 5+ years of experience supporting senior executives (preferably C-level)
  • Strong proficiency in tools like Microsoft Office
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Experience in a fast-paced or high-growth environment
  • Project management experience

Required License/Certifications

  • Must possess a valid/current U.S. Driver’s License.
  • Must be able to pass a background check
  • Must have a clean MVR record

  • May be required to drive a company vehicle between sites or to run errands.
